Email Marketing Features

Ad Banners
Using our dynamic delivery technology (see below), we are able to serve ad banners in multiple ad spots throughout an email, as well as provide weighted distribution. We use an advanced targeting procedure to predetermine each recipient's ad impressions prior to deployment. Our 'Ad Banner Report' includes the numbers of clicks and opens (totals and uniques), broken out by Advertiser, Product and ad placement (it can also be segmented by Ad Group). We also provide metrics for impressions, clicks, clickthrough-rates, responder counts and viewer totals. All reporting is broken down by Advertiser, then product and lastly ad location within the email and is available in our reporting interface.

Auto Detect Email
Using our proprietary technology, we pre-test the viewing ability of the recipient's email application and deliver the appropriate Text or Html message.  We will require that the client supply both a text and html version of the creative.  It is essential to use this delivery format if you do not know what the recipient's email application can display, otherwise, text recipients will always be viewing html source code instead of the message. These types of campaigns are referred to as Mixed, as the recipient list contains both Html and Text recipients.

Browser Version of Email
We provide your recipients with a browser version of your e-mail, ensuring that even Text and restricted-Html recipients have an option to view an Html version. The browser version is an online version of the message that can be viewed through an Internet browser application. It is accessed by the recipient through a URL contained within the email.

We can also provide a hidden link to the browser version that will only appear if the recipient's email client does not support Html. It provides instructions on how to view the browser version of the message. Below is an example of the message a recipient may see if they received an Html email that their client couldn't support.

It is also suggested to display the browser version URL as a fully qualified URL and not just as a masked link (hidden by the descriptive text on top of the link). This will assist those recipients whose email client preserves the copy in the Html message but removes the functionality of the link. This will ensure that the browser version will still be accesssible.

Some clients prefer to position the fully qualified URL as the first line of the email, as part of a simple statement that would be separate from the rest of the message. The copy could read: "If you have images disabled or have trouble viewing this message, please visit our online version at http://www.inbox-ads.com/cgi-bin/c.cgi?linkID=1&CID=EXAMPLE&RID=EXAMPLE". Others prefer to include it at the bottom or not at all.

This is ideal for Text recipients to be able to view the email in Html and for Html recipients who cannot view images or links that are blocked/removed by anti-spam/virus software running in the recipient's email environment. This service can also be used to provide a trackable Html version of a message to a Text only list.

Each browser version is completely customized to the specific recipient's database information including: Dynamic Content, Pass Parameter Values, Personalization data and Polling URLs, as applicable. We track the open, click and unsubscribe results as if the recipient had received the message originally in html. The browser version of the message also captures additional tracking information, specifically the email open counts, which would otherwise be unavailable due to the restricted viewing format for this segment of your audience. We recommend the inclusion of a simple statement in your email message, such as "click below to view a browser version of this email". For Auto-detect email campaigns, add the statement to both the Text and Html versions.

Customization
We modify the From and Reply-to fields in each email to reflect the client's product/company/service name and contact email address.   This assists recipients in being able to identify the message as being sent from the client and provides a seamless connection between the recipient and the client through the use of the Reply-to address.

Dynamic Content Delivery using Rules
This allows us to load a database with data, like age, name, address, hobbies, gender and even paragraphs containing profiles or descriptive content.  We can then assemble a custom message for each recipient based on rules that the client creates about the data in the database. (i.e. If recipient occupation=doctor, include segment #1).

Save time building creative. For example, your target audience contains doctors, nurses and health care administrators.  Each lives in 1 of 10 provinces/states and has their own dedicated sales rep from your company (let's assume you have 5 reps).  The goal is to send different messages depending on the recipients' occupation, province/state where they reside and who their sales rep is.  If you were to send a unique message based on each of the 3 rule criteria, you would have to build 150 unique messages (3 occupations x 10 provinces/states x 5 sales reps).  If you use our dynamic content delivery system, you only have to build content for 18 segments (3 occupations + 10 provinces/states + 5 sales reps), which will be automatically combined to create the 150 possibilities.

We will pre-test each rule against the database supplied and will report counts for the number of recipients that satisfy each equation within each rule.  The pre-test guides us in preventing too much granularity if the rule(s) become too extensive. Creating a content cell for a rule that only has a few recipients may not be cost effective.  It is important to discuss the use of rules with an Inbox Campaign Manager prior to beginning the creative design.

Forms, Polls and Surveys
Collect declarative information from your recipients (audience) through the use of submission forms.   This allows recipients to enter information into a form contained in the email message.  Some applications for this technology include: polling and surveys from within the email, subscription sign-up forms, product order forms (which can also be pre-filled if used in conjunction with the Personalization feature), as well as the addition of a 'search engine' box to the email.  Taking it one step further, we can also pass key data or identification values through the form if we couple this technology with the Pass Parameter Values feature.

If you choose to run an email poll, participants can be directed to either a stand-alone web page (with your branding), which displays the real-time results, or we can embed the results in a Browser Version of the email message. With the embeded results option, a recipient clicks on a polling link in the message and they are directed to a completely customized and trackable browser version of the email, with the real-time poll results appearing in place of the original poll. The recipient can view the results and then continue with reading the message, not having to go back to the actual email.

Image Hosting
We'll host, or you host.  A hosting fee of 10% of the CPM rate is charged for total file sizes < 50k, per campaign. If the total file size for all of the images exceeds 50k and is < 75k, the fee is 15%.  Any file sizes beyond that requires a conversation :)
Acceptable formats are: .gif, .jpg, .png and .swf

Link Tracking
Have us track all or some of the links contained in your message.

We do not apply any restrictions on the number of links that can be included in a message.  We also do not charge extra for link tracking or for total number of links beyond a preset limit.

There are instances where link tracking my produce exceptionally long URLs in Text messages, which may be visually unappealing.  There is also the case of tracking an email URL.  When clicked, it will produce a blank browser window as it opens the email application.  Some clients prefer to avoid this effect, so we remove the tracking from that URL.

We can also track interactions with rich-media content.  Passing a value or tracking a click contained inside a Flash (.swf) or other rich-media file requires special coding to the html and rich-media creative.  Please provide 3 days notice, as special testing may be required.

Multiple Delivery Attempts
Because there are situations where a recipient's mail server may not be accepting deliveries at the time of our deployment or may be overloaded or incapacitated, we have a delivery policy that states, "We will continue to send the message to the intended recipient, every 8 hours for the next 2 days from the launch date".  This equates to 7 attempts at delivery, at which point, if delivery is still unsuccessful, we classify the result as a bounce.

This technology helps to address cases where recipient mail servers are temporarily down or busy, as well as overcoming some anti-spam applications that require a second attempt before the message is delivered.

Pass Parameter Values through the Click
We pass data from a database through any click URL. When the recipient clicks, the data is passed through the clickstream, enabling the destination server to read the responder's specific data.   It is the equivalent of sending the responder to the web site, wearing a nametag, so that you will know their identity.  If the client has a pre-existing process for tracking visitors, this can pass the necessary information required to tie into their tracking system.  Thus providing the means for seamless tracking of the responder from the email message throughout the web site.

There are many advantages to knowing who your customers are and in being able to customize their experience from the email through to the web site.  Some companies have used this option to personalize and customize the landing pages dynamically, while others have offered recipients different content depending on the identity of the recipient who clicked.

We have also used this technology to pre-fill web-based forms with the responders' information (i.e. for an on-line subscription renewal, an order form or application form).

Technical Explanation: Let's assume that the parameter names are: userID and email.  The original html creative supplied contains a URL, for example: http://www.clientdomain.com/index.htm.  Assume that the data retrieved from the database for a specific recipient is: userID=249 and email=recipient@domain.com.

When the recipient clicks on a link, the following query string will be passed to the destination server: http://www.clientdomain.com/index.htm?userID=249&email=recipient@domain.com

There are no restrictions to the number of parameter values you can pass or on which URLs data can be passed through.  It also doesn't matter if the original URL already contained parameters. Our software just appends the new parameters to the string of existing ones.  Assume that the original html creative supplied contained a URL with parameters: http://www.clientdomain.com/index.pl?source=Inbox&greeting=hi

After the recipient clicks, this is what will be passed to the destination server: http://www.clientdomain.com/index.pl?source=Inbox&greeting=hi&userID=249&email=recipient@domain.com

Personalization
We offer personalization of the To: and Subject: lines in the header.   Personalization can also appear anywhere within the body of the message, one or multiple times.   Personalization would include items like a recipient's name in a greeting or identification number or address or phone number or age etc..

Example: You would like the greeting in the message body to be: Hi Jane Plaine, it's your sales rep John." To accomplish this, you would supply us with a database in a similar format to the following:

Indicate where you would like the personalization to occur in the email by placing macros (placeholders) inside your message creative: Hi [first name] [last name], it's your sales rep [sales rep]."

The macros will be substituted with the database data for each email recipient.  There is no restriction to the number of macros you can use and where you can use them. You can also provide a default value for each macro, to be used when blank database fields are encountered.

Unsubscribe Tracking & Confirmation
We host the entire unsubscribe process, which includes a challenge screen coupled with an error screen, a removal confirmation screen and an optional data collection form. We track the clicks to the challenge screen, the actual unsubscribes as well as log all user declared information from the challenge page, including their reason for unsubscribing and/or additional comments.

The email address that is entered on the challenge screen must match our database of recipients for that campaign, as well as a special security code specific to the recipient (so that only the link from the email can be used to unsubscribe). If there is no match, the recipient is directed to the error page indicating what the problem was, as well as our contact email address in the event they cannot resolve their unsubscribe attempts.

Advantages:
i) This ensures your mailing conforms to both Canadian Anti-Spam Legislation (CASL) and CAN-SPAM laws.

ii) We report on the number of unsubscribes in the Reporting Summary and can generate a list of all unsubscribed addresses at the client's request.  This list can then be used for purging unsubscribers from future campaigns.

iii) Provides an ideal opportunity to present unsubscribers with a last message or perhaps a survey/questionnaire in an effort to collect some information that may assist in deterring future unsubscribes. You can also include links to your web site, promoting an alternate path to your service or product or to another service or product offering. If you are a publisher running paid advertising, you can place a banner on the confirmation page.   We can even pass the unsubscriber's email address through any link on the confirmation page, so you'll be able to identify the unsubscribers who click through to your web site from this page.

Viral Marketing - Tell a Friend
We offer a service that contains all of the benefits of a 'send to a friend' viral marketing process, and more.   Our technique for supplying forward requests is to include a link in the email, which will set up a plain text email, containing a message for the friend and a link to an on-line version of the html email.   This enables the recipient to view the message through a web browser instead of an email application.

By doing so, we can eliminate any issues with the email source appearing to be coming from a friend, but containing a masked address, as it would be sent from our IP Addresses, not the friend's IP Address.   It also ensures that the recipient will be able to view the message properly, as they will be viewing it through their Web Browser, instead of through their email application. By encouraging the friend to send the email, the message will be able to by-pass any spam filters that it may have otherwise encountered, if it were sent from a third party sender.   Since the message will be viewed in a browser, the recipient will only see the message in html, making sure you will always be showing new potentials the more colourful, interactive version of the message, instead of the text version.

Our reporting software will track all of the activity that occurs on that link, with the ability to produce a list of email addresses of those who clicked specifically on that initial link. This group of individuals represents recipients who are promoting your newsletter to their friends, co-workers and family members. Below is an example that you can click to see what we mean:
"If you would like to tell a friend about this newsletter, click here."

Why not just do it like all of the other vendors?
Simply put, we do not store, track or send messages to any email addresses that are not on the initial recipient list. We also do not allow the general public to use our mail servers, as in the scenario where a recipient clicks on a link to 'forward to a friend'; they then fill out a form, add an introduction and a copy of the message is sent to the friend from the vendor's servers.

As far as the recipient (friend) is concerned, the message is coming from the vendor's IP Address and from you the advertiser, without their consent. This can be an effective way to alienate people you don't even know and should be avoided. We also do not permit any messages to be sent through our servers that have not been verified by a privacy officer and whose addresses have not been verified as willing recipients.  This is done to ensure that Spam is never sent, as in accordance with our Privacy policies and Canadian Anti-Spam Legislation (CASL).

List & Data Management Features
 
Acquisition Services
A double opt-in subscription process that produces a verified, clean list and database, which also automatically manages your subscribers.    We seamlessly integrate our service with your web property and email communications.    By mimicking a page on your web site, your visitors will not see any difference in continuity as they travel from your web property to our sign up version, hosted on our servers.  The entire process is self-serve and fully automated, from sign-up to unsubscribe.  A support email addresses is also available on each screen in the sign up process, as well as the provision of context sensitive help responses, which assists users should they have any difficulties.

Our technology produces a list of all subscribers and their declared information, which can be instantly targeted in a campaign or downloaded.  We can also add your current database to our process, so that all of your existing subscribers will be able to make use of our modification and unsubscribe services.   Since this is a complete self-serve solution, you will not have to dedicate any resources for support.    Equally as important, this ensures that you have all of the necessary processes in place in order to comply with all Canadian Anti-Spam Legislation (CASL) and CAN-SPAM act requirements.   We can also integrate this service with our Automated Services, so that all new subscribers will receive a personalized welcome email, which can contain product/service promotions, coupons, contact URLs or addresses, etc.

The Sign Up Service consists of a quick, simple process where potential subscribers fill out a form with the requested information (email address and first name are the minimum required fields, however there is no restriction on what information can be collected). When they submit their information, they are sent an email message containing a URL that they must click, in order to activate their registration.   This confirms that the address entered is valid (and functioning properly) and that the potential subscriber's intention is in fact, to register.   It also ensures that only the true email address holder can activate the registration, removing any scenarios where an address can be added without the individual's consent.

Once a registration is activated, subscribers are sent an email message containing a URL that will allow them to modify their information as well as to unsubscribe. No passwords required, just the URL.  We also include an automated access search for recipients who have lost/deleted their access URL email.  

In addition, this service provides subscribers with a context sensitive help facility, which will identify any problem that the subscriber is having in interacting with the sign program and provide instructions for resolving the issue. For issues that cannot be resolved, we provide our support email address on each screen ensuring that contact with us is no further than one click away.

With our enhanced reporting, we can track all relevant activity on a sign up source basis. The reporting displays results as an aggregate of all sources in addition to segmentation by sign up source. Examples of sources could be a web site, newsletter, partner site etc..

Once we have activated the custom subscription interface, we will provide 2 URLs that can be added to your web site, which will allow visitors to access the sign up program. The URLs can be placed anywhere throughout your web site, or even in an email message.  The goal is to provide multiple sources for sign-up to ensure that most of your audience is given an opportunity to participate.

Data, List and Creative Cleansing

All list cleansing and database preparations are performed including suppressions, intersections, unions and de-duplications. Malformed, incomplete and duplicate addresses are removed automatically. We provide a list of all removals. Images are checked for size, file type and irregularities. Any issues that may arise will be communicated through email.

We can also convert and segment your database data. For example, if you are personalizing each email with the recipient's first name and your database contains uppercase characters only, then we can convert each name to first letter capitalized, for a more appealing greeting. Conversions also support French characters.

This process ensures proper maintenance of lists, proper display of message creative and timely reporting of any issues, which may delay the launch of the campaign, allowing deadlines to always be met.

Content, layout or technical changes can be performed by your staff or by us.  We provide coding and graphic adjustment services at an hourly rate.

De-duplication, or not.
Believe it or not, a lot of people share the same email address. Our software is specifically designed to handle multiple recipients who share the same email address but have unique personalization data, so it is up to you if you would like us to remove duplicate addresses.

This allows for individual delivery and tracking of two or more recipients who are sharing one email address.  Delivering multiple messages to recipients sharing an address is only suggested if a personalized message is being sent, otherwise the recipients will receive multiple identical emails.

List & Database Management Services
We remove the stress of managing your lists and databases.  Your data will be stored on our secured servers and will be available each time you would like to launch a campaign. Secure Document and Data Uploads (40-bit encrypted browser or better required)
We assign password-protected access for clients to upload creative, code, images, databases etc., through their own web browser, no FTP required. As soon as the upload is completed, your Inbox Campaign Manager will automatically be notified by our upload server and will retrieve the uploaded files and begin assembling the campaign. We accept compressed ZIP file format, which greatly reduces your the time spent uploading large lists and databases. Simply ZIP all of the files into one .zip file and upload.

Campaign Management Features

Automated Campaign Delivery & Follow Up Campaigns

This service enables marketers to have their email marketing automatically driven by their batch files.  Our processes can be set to run at a regularly scheduled time, on a daily basis.   We can also configure the process to automatically send follow up messaging, based on the initial campaign responses and pre-determined time periods for responses.  Lastly, we can automatically segment out and assemble a database of recipients who are non-responders, which can be used for delivery of alternate messaging through another medium.

Example:
You are a marketer or sales professional and you would like to convert a portion of your off-line marketing to on-line. One technique that you can use, is to collect an email address from each customer who would like to receive your communications (i.e. newsletter, occasional product/service alerts etc.). Each day a database containing your new subscribers' data would be automatically batched either locally on your computer or on your servers and securely uploaded to our batch server. Our automated processes will cleanse the database (removing and logging duplicate and malformed entries) and deliver a customized email to each recipient listed in the database.

The email message could be used to act as a welcome to your on-line program, or to include coupons, promote additional products or services, offer cross advertising for another company's products or services...whatever you require. This email can also be followed up by another automatic campaign, which sends an email to those customers who have yet to open their first message, after a preset time period (say 5 days).  If the recipient still does not open the message within 5 days from the second mailing, our software can then generate a batch file containing a database of non-responders, which can be downloaded by your printing vendor, to be included in a direct mail piece.

When using email as a first point of contact, you can effectively reduce your marketing costs on a continual basis. Aside from being more cost effective, email campaign results are also far more measurable and actionable for follow up strategies. We provide extremely detailed metrics, which you will have access to 24/7.

Automated Campaign Delivery is offered in conjunction with all of our other services (i.e. personalization, dynamic content based on rules etc..). Unsubscribes will also be automatically purged to ensure they do not receive the second delivery.   Reporting will appear in one continuously updated campaign (in real-time), available through our secure on-line reporting interface. All data transfers, both upload and download, are through our secure servers.

Block List Service
Provide a list of addresses that you would like us to block from receiving emails and all lists you submit will be checked against your blocked list.  All matches will be removed.   This is ideal if you have received complaints regarding unsubscribe requests not being removed or you have an automated list collection process that may not be checking against all prior removal requests.

Recommended if you have been having difficulties with your unsubscribe process and have been receiving complaints about removals not being performed, or removed addresses re-appearing.

Bounced Email Details - not offered by any other email vendor!
We have the ability to track every aspect of the delivery and non-delivery of each email sent through our servers. Not only can we provide details about opened messages and clicks, we can determine exactly why an email was not received. These types of messages are referred to as a bounce back, or bounce.

To monitor the bounce activity for each campaign, we provide you with access to a bounce status report from within our reporting interface. It will display the bounce status code, total counts for each, classification and reason for each bounce. You can also download the report to your desktop. Prior to your next campaign launch, we can provide lists of both hard and soft bounces, which can then be removed from future mailings.

Campaign Adjustments, Testing & Approval
Each campaign management fee includes 1 adjustment that can be applied to images, lists, databases or content.  All campaigns must be tested against a client supplied test list and approved by the client before they can be launched.

Destination URL Safety Feature - Insurance not offered by any other email service!
We have the ability to change any destination URL in your message to another URL after the campaign has launched.  A real lifesaver if the destination URLs are incorrect/incomplete or are pointing to a server that is unresponsive.  Once we are notified, changes take under 30 seconds to implement.

The best way to describe this is Insurance.  With all other email service providers, once the email is sent, they do not have any control over the link URLs contained in the message.

With our service, we can change the destination any number of times and at any point after a campaign has launched.  The reporting module will also automatically update itself to reflect all changes.

Link Locator & Email Viewer
Our automated process visually highlights the placement of each Link ID within a copy of the email message, which enables you to easily locate each link placement and its corresponding ID. It works for both Html and Text creative.

This is a helpful tool when you would like to correlate a particular link's results to its physical placement within the message. The multi-selection interface offers highlighted and original versions of the message. It will also display a specific content cell for dynamic content campaigns, eliminating what could very well be a time consuming process of locating a specific rule and cell combination within campaigns with multiple content cells and rules.

We've also added in a process to display and print the original email that was sent. No more searching your deleted items bin. You'll also be able to view both the text and html versions of a mixed creative message. Normally you would only be able to view whichever format displayed in your email application.

Post Launch List Generation & Storage
Results lists will be generated at the client's request.  These are lists of email addresses grouped based on whether the recipients clicked, opened, unsubscribed or did not receive the email.  Results lists greatly assist in future mailing strategies.  This is best conducted one week after the launch.  We can also generate click lists for each specific link or combinations of links.  In addition, we can we can perform special list creations. (i.e. recipients who did not click, responders who clicked for successive campaigns, recipients who did not open etc.).

The lists are used primarily for list management in merging subscribes and purging unsubscribes.  They are also important tools for conducting a more granular analysis of the campaign performance.   Most of the campaign results will occur in the first few days after the launch, however, results will continue to accumulate for weeks and even months after the launch date.  We will maintain your access to that campaign for 6 months, at which time the results logs will be archived.

Reporting
Built on our proprietary OLAP (On-line Analytical Processing) technology, the Reporting Module is a high-powered database query and analysis tool.  All results are displayed in colourful, interactive reports containing detailed graphs and metrics.  Reports are accessible 24/7, are in true real-time and can be downloaded to your desktop into a .csv file format.  All reporting access and file downloading is done through a secure server to ensure maximum protection of the files and results.

Reporting is divided into two sections, Segmented (results for each URL clicked) and Top Level (results for all URLs combined).  Each is then sub-divided into total and unique responses based on daily, hourly, by day or week or by hour of day choices.  Results include, emails sent, received, unsubscribed, bounced, opened emails (total, filtered and unique), clicks (total and unique - broken down further as Html vs. Text).  Also included is the click rate based on opened emails and on received emails, as well as the frequency of opens.  All results are conveniently displayed in the Top Level Summary table found on the main reporting screen.

A help facility is built into the interface that describes each result metric, the methodologies used, as well as providing data export instructions.  We are also available for post-launch discussions regarding interpretation and management of the data, lists and results.

Lastly, the reporting interface view of the campaign can be customized, with the ability to restrict what each user views within each campaign.  We can assign access on a per-URL basis.  This is especially useful for client's selling advertising spots in their newsletters to multiple advertisers. The results displayed in the Reporting interface for one client's ad cannot be viewed by another client who is running a different ad in the same newsletter.  Everyone gets their own access to the interface and can only view their ad's results.  This can be used for sales rep viewing restrictions as well.

Sender Authentication Compliant
Sender authentication technologies allow recipients to verify the source of a message before accepting it. This is done by automatically checking the source delivery address of an email with where it claims to be sent. If the two do not match, then the email will be flagged as not authenticated and can either be refused, re-routed or accepted. In many cases, large Mail Service Providers (like Hotmail and AOL) are re-routing these mailings to 'Junk' folders and even refusing delivery.

The problems arise because Email, by its very nature, is a trusting technology. Anyone sending an email message can claim to be anyone else, with little or no consequence. This has fueled the pandemic abuse of email communications for the purposes of spam and fraud.

In an effort to battle against this shortfall in email technologies, the introduction of Sender Authentication has decidedly filled the gap. By actually checking the sender's IP address against the domain name (DNS) of the mail server sending the email, organizations can now determine if the sender is who they say they are. The benefit of sender authentication is that it allows legitimate senders to prove their identity, while protecting recipients by providing accurate information about the source of the sender. This also reduces fraud and spam, as unscrupulous individuals will no longer be able to conceal their identity. The overall effect will be very positive.

In the case of Inbox Advertising services, our IP addresses match our DNS listings and as such, all emails sent through Inbox Advertising servers are always Sender Authentication Compliant.
